Link Clinician and Practice Profiles on TherapySearch™ – TherapyNotes

TherapySearch™ allows Clinician Profiles to be linked with Practice Profiles, making it easier for prospective clients to explore the clinicians associated with a practice and find a provider who fits their needs.

Once linked, clinicians can select which of the practice's locations they want to display on their individual profile. When the clinician's profile is published, it will also appear on the public Practice Profile.

Note: Linking does not automatically create, complete, or publish a clinician's TherapySearch profile. Clinicians remain in control of their individual profile and the practice locations they choose to display.

Invite and Manage Clinicians as a Practice Administrator

Role Required: Practice Administrator

Practice Administrators can invite clinicians and manage existing profile connections from the Practice Profile.

From your TherapySearch Dashboard, select Edit Profile for your Practice Profile.
Select the Clinicians tab.
Select Invite Clinicians.
Select a clinician from the list or enter the clinician’s email address, then follow the prompts to send the invitation.

What happens next depends on the clinician's TherapySearch account and connection to your TherapyNotes practice:

An eligible clinician associated with the same TherapyNotes practice may be linked automatically.
A clinician with an existing TherapySearch account may receive an invitation to accept or reject.
A clinician without a TherapySearch account will receive an email inviting them to create an account and connect with the practice.

Review Clinician Status

From the Clinicians tab, you can review the status of clinicians associated with your Practice Profile.

Statuses may include:

Linked via TherapyNotes: The clinician is a member of your TherapyNotes practice.
Invited: An invitation has been sent and is awaiting action.
Not Yet Published: The clinician is linked but has not published their Clinician Profile.

Only clinicians with published Clinician Profiles appear on your public Practice Profile.

Manage Automatic Clinician Linking

Eligible clinicians associated with the same TherapyNotes practice may be automatically linked to your Practice Profile.

When a clinician is automatically linked, both the clinician and Practice Administrator receive a notification. The clinician can then choose which of the practice's locations they want to display on their profile.

To prevent additional eligible clinicians from being automatically linked, update the automatic linking setting from the Clinicians tab of your Practice Profile by selecting the Settings icon.

Note: Turning off automatic linking does not remove clinicians who are already linked.

Unlink a Clinician as a Practice Administrator

To remove an existing connection:

Open your Practice Profile and select the Clinicians tab.
Locate the linked clinician.
Open the three-dot More menu.
Select Unlink from Practice.

Unlinking removes the clinician from your Practice Profile and removes locations associated with your practice from the clinician's profile.

Accept or Reject a Practice Invitation as a Clinician

Role Required: Clinician

When a practice invites you to connect your Clinician Profile, you'll receive:

An email notifying you of the invitation
An in-app notification on your TherapySearch dashboard

To respond:

Select View Invite from the email or open the invitation from your TherapySearch dashboard.
Review the practice information.
Select Accept to connect your Clinician Profile or Reject to decline the invitation.

If you accept, you'll be directed to the Practices & Locations tab of your Clinician Profile.

Select Your Practice Locations

Accepting an invitation does not automatically add the practice's locations to your Clinician Profile.

To choose your locations:

Navigate to the Practices & Locations tab of your Clinician Profile.
Locate the linked practice.
Select + Add New Location.
Select the practice locations where you provide services and want to appear on your profile.
Save your changes.

When your Clinician Profile is published, it will appear on the linked Practice Profile.

Note: You can link your Clinician Profile to more than one practice and select the applicable locations for each.

Unlink from a Practice as a Clinician

You can disconnect your Clinician Profile from a practice at any time.

Navigate to the Practices & Locations tab of your Clinician Profile.
Locate the practice you want to disconnect from.
Select Unlink From Practice.
Confirm your selection.

Unlinking removes the practice connection and all locations associated with that practice from your Clinician Profile.

Note: If your published profile no longer has an active location after unlinking, your Clinician Profile will be unpublished. Add at least one active location before publishing it again.

Once you unlink from a practice, TherapySearch will not automatically reconnect your profile to that practice. To reconnect later, the Practice Administrator must send you a new invitation, which you can choose to accept.
