Accurate location details are essential for ePrescribing in TherapyNotes. The Enhanced ePrescribe Location and License Management feature ensures that each practice location is correctly set up and linked to the appropriate prescribers and licenses. Before completing ePrescribe enrollment or sending prescriptions, practices must confirm that all required location information is entered and up to date. By satisfying the listed requirements for location details within the Practice Information and Locations settings, it ensures compliance with DrFirst and ePrescribing standards.
Requirements for Location Details
Click Settings > Practice Information and Locations
Location Name
- The Location Name field is required and can include up to 35 characters.
Address
- Address Line 1 is required and can include up to 35 characters.
- PO Box addresses are not allowed.
- You may include letters, numbers, spaces, and the following special characters:
& # . , ; : '
Address Line 2 is optional but follows the same formatting rules.
City
The City field is required and can include up to 35 characters.
You may include letters, spaces, and the following special characters:
- , . ; ' & / ( )
State
- The State field is required.
- Enter the two-letter state code (e.g., PA or CA).
ZIP Code
- The ZIP Code field is required.
- You may include numbers, letters, spaces, and a dash.
- ZIP Codes must follow country-specific formats (e.g., 5 or 9 digits for U.S. addresses).
Phone and Fax Numbers
- Both the Phone Number and Fax Number fields are required.
- Phone and fax numbers must each include 10 digits.
- You may include an extension (up to 5 digits) for the phone number.
- Valid delimiters include dashes, spaces, and parenthesis (e.g., (123) 456-7890).
Common Errors and Resolutions
Error: "One or more locations has invalid data and has been disabled."
This error appears when one or more practice locations associated with a prescriber contain incomplete or invalid information. When this occurs, the affected locations are disabled and cannot be selected during:
- ePrescribe enrollment
- Prescription creation
This Error Appears on the prescriber’s eRx tab:
- License information (state license, DEA, etc.) appears at the top of the page.
- Practice locations appear below the license information in blue sections with checkboxes.
- Any location that cannot be selected indicates missing or invalid location data.
- A yellow banner appears warning that one or more locations are disabled.
If a location cannot be selected here, it must be reviewed and corrected before it can be associated with the prescriber’s license or DEA.
Resolution
You can identify affected locations using any of the methods below.
Option 1: From the eRx Tab
- Go to Staff > Select the prescriber’s name > Open the eRx tab.
- Under the license section, identify any practice locations that cannot be selected.
- These un-selectable locations correspond to the yellow warning banner.
Option 2: Review All Locations in Practice Locations
- Go to Settings > Practice Information and Locations.
- Review every location listed, even if it is not currently assigned to the prescriber.
- Confirm that all required fields are completed and properly formatted for each location.
Option 3: From the Prescriber’s Work Schedule
- Go to Staff > Select the prescriber’s name > Open the Work Schedule tab.
- Review all locations listed under Work Locations.
- This helps ensure that no outdated or incomplete location is causing the warning.
Error: “To enroll as a prescriber, your Practice Administrator may need to revise your Staff Info”
A yellow warning banner may appear on a prescriber’s eRx tab when their profile does not include a medication management clinician role. When this banner is present, the prescriber will not be able to enroll in ePrescribe until the role is updated.
Resolution
To resolve this, the Practice Administrator will need to complete the following:
- Go to Staff > Select the prescriber’s name > Select the Info tab.
- Click the Edit icon
- In the Type of Clinician section, use the drop-down menu to select an appropriate medication management role.
- Select Save Changes.
Once the update is saved, the yellow banner will be removed, and the prescriber will be able to proceed with the ePrescribe enrollment.
Error: "Your Staff info lists state licenses that do not correspond to any practice location. A Practice Administrator must update your Practice Settings to reflect all states you practice in before enrolling in ePrescribe”
This notice appears when the state listed on your professional license does not match a practice location that is available and selected in your work schedule. Before ePrescribe enrollment can proceed, the system requires at least one practice location that aligns with your licensed state.
Resolution
Step 1: The Practice Administrator must review the practice locations.
- Go to Settings > Practice Information and Locations.
- Confirm there is a practice location listed for the state you are licensed in.
- If the correct state is not listed, the Practice Admin will need to add the location and save the changes.
Step 2: Work schedule update by the Clinician or Practice Administrator once the correct location is available.
- Go to Staff > Select the clinician’s name > select the Work Schedule tab.
- Under Work Locations, select the practice location that matches the licensed state.
- Save the work schedule.
After these updates are completed, the message should clear and you’ll be able to proceed with ePrescribe enrollment.
Error: “Your Work Schedule lists locations that you do not appear to be licensed in. Update your Staff Info with all relevant licenses for the state in which you practice before enrolling in ePrescribe.”
This banner appears when your Work Schedule includes one or more work locations in states where you do not currently have a professional license listed in your staff profile. Before enrolling in ePrescribe, your work locations and license states must align.
Resolutions
Option 1: Update your Work Schedule (remove unlicensed locations)
If you are not practicing in those states, you can remove the locations that do not match your licensed state(s):
- Go to Profile > Click the Work Schedule tab.
- Locate Work Locations and select Edit.
- Review Work Locations and remove any that are in states where you are not licensed.
- Select Save Changes.
Option 2: Update your Licenses (add the missing licensed state)
If you are licensed in the state(s) tied to your work locations, and the license isn’t listed yet, add the license to your Staff profile.
- Go to Profile > Click the Info tab.
- In the Licenses section, click Edit.
- Select Add New License > Enter the license details for the applicable state(s)
- Select Save Changes.
Once your listed license state(s) match the state(s) included in your Work Schedule locations, the banner should clear for you to proceed with the enrollment.
