How To: Check In a Client

Follow

While a more robust client check-in feature is being considered for the future, practice staff such as receptionists and schedulers can use Appointment Alerts to denote that a client has been checked in. Because information in TherapyNotes updates in real-time, when a user adds an Appointment Alert to an appointment, other users will see the alert immediately as long as they are logged in to TherapyNotes and viewing the calendar.

Role Required: Any

To indicate that a client has checked in:

  • Click Scheduling
  • Click on the desired appointment on the calendar

  • In the Appointment Alert field, note that the client has checked in. We recommend adding a consistent, easy-to-see message such as "Checked In"
  • Click the Save Changes button

The Appointment Alert will automatically be updated on the clinician's calendar in real-time, as shown below.
