How to Set Always Available Documents in TherapyNotes

If your practice has any documents that you want to keep on the portal for your patients to always have access to, you can set those to be Always Available right in your Library. Patients can log in to their portal account and review Always Available files at the bottom of their Documents list. You can set any document from your Library or Portal forms to be always available, even outcome measures!

To Set a Portal Form or Outcome Measure as Always Available:

  1. Click Library > click on the tab associated with the document: Portal Forms, Outcome Measures.
  2. Click on the file Name > click Edit in the About the Form box.
  3. Under the section labeled Sharing on the Portal > select the option Always Available.
  4. Save the Document at the bottom.


To Set a Library Document as Always Available:

  1. Click Library > click Library Files > Select Document
  2. Click on the file Name > click Edit at the top right
  3. Under the section labeled Sharing on the Portal > select the option Always Available.
  4. For Library Documents, a patient response is required. You can select E-sign, Upload, or both.
  5. Save the Document at the bottom


When a document is set to Always Available, a section will be displayed at the bottom of the Documents on TherapyPortal labeled appropriately. Patients can click on these files anytime to review and access them in their account.


In TherapyNotes, once a patient completes an Always Available document request, you will see this show in the list of documents with the Sent and Received Date in a disabled state.

Note: If there are multiple patients linked to a portal account, then a patient selection screen will be displayed when they are logging into TherapyPortal. If a patient already has an existing document request that is pending, they will be re-directed to the request version to complete the document.
